Best CRM for Small Business in Ireland (2026 Guide)

The best CRM for a small business in Ireland is the one your team will keep up to date, that links to your accounts package, and that holds your data where you need it. For most small teams that means starting with HubSpot, Pipedrive or Zoho CRM. If you run Xero or Sage and want something simple, look at Capsule. If you sell B2B over email and LinkedIn, look at Salesflare. If your work is jobs, quotes and site visits rather than a sales pipeline, a custom CRM is the other route. We read every vendor's own website on 5 November 2026 for this guide; we take no payment from any of them.
The six CRMs at a glance
| CRM | Free plan | Free trial | Accounts links the vendor lists | EU data hosting | Best for |
|---|---|---|---|---|---|
| HubSpot | Yes, 2 users, 1,000 contacts | Free plan instead | Xero (app built by Xero), QuickBooks Online | Yes, EU data centre | Sales and marketing in one place |
| Pipedrive | No | 14 days | QuickBooks (built by Pipedrive), Xero (third party) | Yes, EU regions incl. Dublin | A simple visual sales pipeline |
| Zoho CRM | Yes, 3 users | Yes | Xero, QuickBooks, Sage 50 UK through third-party apps | Yes, Amsterdam with Dublin backup | Teams that want to customise a lot |
| Salesflare | No | 30 days | Xero, QuickBooks, Sage through Zapier or Make | Yes, Belgium | B2B teams selling over email and LinkedIn |
| monday CRM | No | 14 days, 3 seats minimum | QuickBooks (Ultimate plan) | EU data region; EU-only on Enterprise | Teams already using monday.com |
| Capsule | Yes, 2 users, 250 contacts | 14 days | Xero, QuickBooks Online, Sage Accounting | No, US hosting | Small firms on Xero or Sage that want simple |
Plans and limits change often, so check each vendor's pricing page before you sign up. We have left prices out on purpose.
HubSpot
HubSpot runs its European HQ from Sir John Rogerson's Quay in Dublin. The free plan covers up to 2 users and 1,000 contacts with no time limit, with HubSpot branding on emails, pages and chat. The Xero app in its marketplace is built by Xero, and HubSpot publishes a setup guide for QuickBooks Online. We found no Sage Accounting app, only a third-party Sage Intacct one. Existing paid customers can move their data to the EU data centre. Good fit if you want email marketing, forms and a pipeline in one place and expect to grow into paid tools.
Pipedrive
Pipedrive is built around a drag-and-drop deal pipeline and is quick to learn. There is no free plan, but there is a 14-day trial with no card needed. Pipedrive builds its own QuickBooks app; Xero and Sage 100 links come from third parties. EU customers' data is held in AWS regions in Frankfurt and Dublin. Good fit for a small sales team that wants to see every deal at a glance and not much else.
Zoho CRM
Zoho CRM is free forever for up to 3 users, with limits on templates, exports and API calls. It is deep: custom modules, automation and built-in AI agents. Xero, QuickBooks and Sage 50 UK links are all third-party apps in the Zoho marketplace rather than built by Zoho. European data sits in Amsterdam with Dublin as the backup data centre. Good fit if you have someone who enjoys setting systems up.
Salesflare
Salesflare is a Belgian CRM for B2B small and medium businesses. It fills in contacts and activity from your email, calendar and LinkedIn, so there is less typing. There is no free plan; the trial runs for 30 days with no card. Data is stored on Google Cloud in Belgium. Its Xero, QuickBooks and Sage Accounting links run through Zapier or Make rather than a direct connection. Good fit for founders and small teams who sell by email.
monday CRM
monday CRM suits teams that already plan their work on monday.com and want sales on the same boards. There is no free CRM plan; the trial is 14 days and paid plans start at 3 seats. The QuickBooks link is on the Ultimate plan. EU customers' data goes to monday's EU data region, but only Enterprise plans keep it in the EU alone. Good fit for teams who want CRM and project tracking side by side.
Capsule
Capsule is a Manchester company and the only CRM here that lists Xero, QuickBooks Online and Sage Accounting on its own integrations page. The free plan covers 2 users, 250 contacts and one pipeline, and there is a 14-day trial. All data is stored with AWS in the United States, with no EU option stated. Good fit for a small firm on Sage or Xero that wants a tidy contact list and pipeline without extras.
What to look for in a small business CRM in Ireland
- Your accounts package. Most Irish small firms run Xero, Sage or QuickBooks. Check the link is listed by the CRM vendor, and whether it is built by them, by the accounts software company, or by a third party.
- Where data is held. Some customers and public tenders ask. Five of the six above offer EU hosting; read the plan details.
- Who will update it. A CRM nobody fills in is worse than a spreadsheet. Pick the one your team finds easiest, and favour tools that log email and calendar activity for you.
- Phones and site teams. If your people are out on site, test the mobile app on day one.
- Getting your data out. Check you can export contacts and deals if you move later.
- How you actually sell. Pipelines suit deals. If your work is jobs, quotes, variations and dockets, an off-the-shelf CRM may fight you.
When a custom CRM makes more sense
Off-the-shelf CRMs are built for selling. Many Irish contractors, trades and builders' merchants need something closer to job management: quotes linked to jobs, site photos, dockets and the accounts package in one place. That is where a custom build earns its keep. We build these at WDI; see CRM for small business and digital dockets. If you are filling the pipeline with outbound, our guide to cold email agencies in Ireland covers that side.
How we picked
We chose the six CRMs Irish small businesses ask us about most and that rank for this search in Ireland. Every fact comes from the vendor's own pricing, integration, data hosting or company pages, read on 5 November 2026. No vendor paid to be included. WDI builds custom CRMs, so we have an interest in the last section, and we have kept it separate from the reviews.
