Business automation for Irish companies

    WorkflowsDigital docketsTrade portalsAIIntegrations

Built for trade, construction, distribution and B2B service firms

We build the systems that take repeat admin off your team: follow-ups, quotes, dockets, invoice reminders, reports and orders. Simple rules where rules do the job, and AI where the work means reading or writing.

    What It Actually Means

What business automation means for an Irish business

Most Irish firms are run by people who are good at the work but lose a big part of the week to repeat admin: chasing payments, following up quotes, updating spreadsheets, sending reminders, logging jobs. Business automation means finding the tasks that happen the same way every time and building systems that do the next step for you.

A plumber's quote goes out after a site visit, with a reminder three days later if there's no reply. A groundworks foreman fills in a digital docket on site, which updates the job record and sets up the invoice. A wholesaler's trade customers reorder from a trade account portal instead of ringing the office. A service firm's new enquiries get a reply and a booking link within minutes, day or night.

We build and set up these systems, connect them to what you already use and make sure your team can run them.

    Common Automations

    What WDI automates

The areas where Irish firms most often get time back every week.

    Lead follow-up

A new enquiry gets a reply straight away, a follow-up two days later and a last nudge at the end of the week, all written in your voice.

    Quotes and reminders

Quotes go out once a job is logged, with a friendly reminder if there's no reply in three days.

    Invoice reminders

Overdue invoices get reminder emails on day 7, day 14 and day 21, so nobody has to remember to chase.

    Job scheduling

The right people are told when a job is booked, and again when the schedule changes.

    Records that update themselves

When a docket is signed off, a quote is accepted or an invoice is paid, the record updates without anyone retyping it.

    Weekly reporting

Jobs completed, leads in the pipeline, quotes outstanding and money collected, in your inbox every Monday morning.

    Orders and trade accounts

Trade customers order, check their account and track deliveries online, without ringing the office.

    AI on documents and inboxes

Enquiries sorted and drafted for a reply, details pulled out of PDFs and emails, and first drafts written from your own documents.

Where AI fits, and where it doesn't

A lot of the best wins need no AI at all: if a step happens the same way every time, a simple rule does it reliably. AI earns its place where the work means reading or writing: sorting an inbox, drafting a reply, pulling figures out of a supplier's PDF, or writing a first draft from documents you already have. A person checks anything that goes to a customer. We use AI in our own product, Tender Copilot, and bring the same approach to client systems.

    • Xero and QuickBooks Online: both have open APIs, so quotes, invoices and payments move between systems without retyping.
    • Sage: Sage Accounting (cloud) links the same way. Sage 50 runs on one office PC, so linking it needs extra setup on that machine, and we check what your version allows before we quote.
    • Shopify and WooCommerce: orders and customers from an existing online shop can flow into a trade portal or job system.
    • Microsoft 365 and Google Workspace: email, calendars and shared files.

    The Impact

What changes when the admin runs itself

What our clients notice once their systems are live.

    Follow-ups go out on time

Enquiries, quotes and invoices are chased on schedule, whether you're on site or on holiday.

    Data entered once

Details flow between systems instead of being retyped, so fewer mistakes creep in.

    Faster replies

New enquiries hear back while they're still looking.

    One clear view

Jobs, quotes and invoices in one place, with a report every Monday.

    • Routine admin done by the system
    • Details entered once
    • Digital records you can search
    • A weekly report every Monday

    Our Process

    How it works

Three steps, starting with one process.

    01

    Map the workflow

We map what happens now and where time is being lost.

    02

    Build and test

We build the system, test it with real users and refine it until it's simple.

    03

    Roll out and train

We roll it out across your team and stay on for training and support.

    FAQs

Common quick wins are enquiry follow-up, quoting, invoice reminders, dockets and timesheets, purchase order approval, trade orders and weekly reports. We start where admin costs you the most time.

Xero and QuickBooks Online, yes, through their APIs. Sage Accounting (cloud) too. Sage 50 is a desktop package, so it depends on your version and setup, and we check before we quote.

No. Most of our work is with trade and construction firms, but we also build for builders' merchants, wholesalers, distributors and B2B service firms.

Not always. Many of the best wins are simple rules. We use AI where the work means reading or writing, and a person checks anything that goes to a customer.

No. It works on any smartphone or tablet, Android or iPhone. If your team can use WhatsApp, they can use a digital docket or timesheet.

It depends on the process. We agree a timeline once we've mapped the workflow, and we start with one process so you see it working before anything else is built.

Systems are built to change with you, and changes are part of ongoing support.

    Who This Is For

    Who we build for

Trade and construction firms (plumbers, electricians, roofers, groundworks contractors, specialist subcontractors and main contractors), builders' merchants, wholesalers and distributors, and B2B service firms whose admin has outgrown a spreadsheet and a WhatsApp group.

You don't need it all worked out. "We're losing track of follow-ups", "invoicing takes forever" or "I've no idea what's in the pipeline" is enough to start. Everything is built around how you already work.
